Not every owner needs to see the staff schedule. Not every working student needs to see boarding revenue. Permissions are per role and per horse — so the right people see the right things.

Roles & permissions

Predefined roles — owner, trainer, barn manager, working student, viewer — with sensible defaults. Override per user where needed (e.g. a part-time trainer who only sees their own training horses).

Tasks & assignments

Assign tasks to specific team members — turnout schedule, blanketing, supplement mixing, paddock rotation — with due dates and completion logging. Replaces the whiteboard nobody updates.

Notes attached to the horse

Sticky notes on a horse's profile — 'mare needs SmartPak refilled', 'gelding cribbing in west barn after dinner' — visible to permitted team members, not lost in a group text.

Owner & staff broadcasts

Send a single update to all owners (e.g. weather closure, vet day) or all staff (e.g. shift change) without spamming people who do not need to know.

Audit log

What barn owners ask before they invite the team.

How many team members can I invite?
Depends on plan. The Owner plan is single-user. The Barn plan supports a barn-staff team — owners, trainers, working students, and viewers up to a generous default with the option to add more seats. Can I limit a trainer to only their training horses?
Yes. Permissions are per-horse — a trainer can be granted access to a specific list of horses (their training program) and not see the rest of the barn. Same for boarding clients who should only see their own horse(s).
What does the audit log capture?
Every change to a horse record, document, expense entry, calendar item, and task — who made the change, what changed, and when. Useful for boarding/training disputes, as well as for the routine 'who logged that vaccine?' check.
Can a boarding client log in to see only their horse?
Yes. The owner portal gives boarding and training clients a clean, owner-only view of their own horse(s) — records, documents, expenses, calendar — without exposing any of the barn's other horses or admin tools.
What happens to notes and tasks if a team member leaves?
All entries authored by that team member stay attached to the horse and the audit log. The user account is removed (or downgraded to viewer) and they lose access immediately. The historical record stays intact for the barn.
